                 Setting a Default Sort Order

To specify a sort order for the members of a dimension. For example, let's say you have a field containing grades such as Freshman, Sophomore, etc. By default, these values are sorted in alphabetical order, so when you drag the field to the Rows shelf it lists them as Freshman, Junior, Senior, Sophomore. You can specify a sort order to use instead. That way you do not have to manually sort the values every single time you use that field. 

Note : If you set the sort order for a field in the Dimensions pane, it becomes the default sort order. If you set the sort order for a field in the view, the sort order applies only in this view. 


Select a sort order

You can specify a default sort order for dimensions by right-clicking the field in the Data window and selecting Field Properties > Sort.





The Sort dialog box opens and gives you the choices of sorting in ascending or descending order, sorting in the data source, alphabetically, or manually. In this case, sort the classes manually so they are listed as Freshman, Sophomore, Junior, and Senior. When finished, click OK.





Now when you drag the field to the Rows shelf, the classes are shown in the expected order.



Use the default sort to change how dimension members are displayed in quick filters as well.




Note : When you specify a default sort for a field in the Data window, it is saved with the workbook and used for all worksheets that use the same data source connection.
